Draft — legal review required
1. Introduction and scope
Fair Price Pros is an online marketplace, currently in a free pilot, that helps homeowners in the United States describe heating, ventilation, and air-conditioning (HVAC) projects and connect with independent HVAC contractors. Fair Price Pros does not perform HVAC work. Neither homeowners nor contractors are currently charged through the platform.
This policy applies to visitors to our website, homeowners who submit project requests (with or without an account), contractors who apply to or participate in the marketplace, and other account holders. It explains what personal information we collect, how we use and disclose it, how long we keep it, and how we protect it. Your legal rights may differ depending on the state where you live.
2. Information we collect
A. Homeowner information
- First and last name.
- Email address and/or phone number (at least one is required), and your preferred contact method.
- ZIP code and city.
- Project details: type of work, system type, a description of the problem, equipment details, whether the system is working, urgency, approximate home square footage, approximate system age, and preferred timing.
- Optional project photographs.
- A record of your consent to share request information, including the consent wording version and the time you gave it.
- The preliminary estimate range shown to you, quotes you receive, the contractor you mark as preferred, request status changes, and any review you choose to write after a completed job.
- Information you send through our contact form or concern-reporting form.
We do not ask for payment card details, Social Security numbers, or budget information.
B. Contractor information
- Business name, contact person's name, business email, and business phone.
- Optional website, business description, and logo.
- Services offered and service ZIP codes.
- Optional license number and license state.
- Display preferences (whether your phone, email, and license appear publicly) and notification preferences.
- Acceptance of the Contractor Terms, including the version and time accepted.
- Application and approval status, quotes submitted, lead pipeline activity, and whether you viewed an opportunity.
We do not currently collect business mailing addresses or insurance documents.
C. Account and technical information
- Account identifiers, email address, and sign-in information. Passwords are handled by our authentication provider; if you sign in with Google, we receive basic profile information such as your name and email from Google.
- Records of important actions (for example, approval decisions, estimate configuration changes, and review moderation) kept in an internal audit log.
- Technical information that our hosting and infrastructure providers process when you use the site, such as IP address, browser and device information, and request logs, used to operate and secure the service.
3. Sources of information
- Directly from you when you submit a request, create an account, apply as a contractor, or contact us.
- From your activity on the platform, such as quotes submitted, contractors marked preferred, and status changes.
- Automatically through our hosting and authentication providers when you use the site.
- From Google, if you choose to sign in with Google.
4. How we use information
- To create and manage accounts and sign you in.
- To process project requests and calculate a preliminary estimate range.
- To match requests with approved contractors based on ZIP code and the requested service.
- To let contractors respond with quotes and let homeowners compare them.
- To disclose contact information as you authorize (see Section 5).
- To send service-related notices about your account or request.
- To review contractor applications and moderate reviews.
- To provide support and respond to concerns.
- To secure the platform and detect fraud, abuse, duplicate submissions, and unauthorized access.
- To troubleshoot and improve the service, comply with legal obligations, and enforce our terms.
We do not use your information for marketing, and we do not enroll you in marketing communications.
5. How homeowner information is shared with contractors
Homeowner information is disclosed in stages:
- When you submit a request with your consent, Fair Price Pros identifies approved contractors who list your ZIP code and offer the requested service. A configurable number of contractors (currently up to five) are notified.
- Matched contractors can see your project details, ZIP code, city, preliminary estimate range, your first name only, your preferred contact method, and any photos you uploaded.
- When you mark a contractor's quote as preferred, that contractor can see your full name and the contact detail for your preferred contact method (or the other method if you provided only one).
- Contractors who were not matched to your request cannot access it through the platform.
Contractors are independent businesses. Under our Contractor Terms they may use homeowner information only to respond to the request it was shared for, and not for unrelated marketing. However, once information has been shared with a contractor, Fair Price Pros cannot technically prevent that contractor from copying or retaining it, and the contractor may process it independently, including to meet its own legal obligations. Contractors can view photos while matched; we do not offer a bulk download or export tool.
Approving a contractor to participate is not verification of the contractor's license, insurance, background, qualifications, or workmanship. A verified status is shown only when a specific verification step has actually been completed.
Approved contractor business information is shown publicly in our directory according to the contractor's display settings. Reviews you publish are shown with the contractor's public profile.
6. Photographs and uploaded files
Photos are optional. They help contractors understand your project. Request photos are stored in a private storage area that is not publicly listed. Access is limited by permission rules to you, contractors matched to your request, and authorized Fair Price Pros administrators. Photos are displayed through temporary links that expire after about one hour; anyone holding such a link can open it until it expires.
We do not currently remove image metadata (such as location data embedded by some cameras). Consider removing location data from photos before uploading. To ask for photos to be deleted, see Section 16.
If you use the optional symptom helper on the request form, any photos you attach to it are sent for analysis to produce a suggestion and are not saved with your request.
7. Preliminary estimates, suggestions, and matching
Your job type and project details are used to show a preliminary, non-binding ballpark estimate range from configured typical price ranges. It is not a final price, not a quote, and not an inspection or professional diagnosis. Contractor quotes and final prices may differ. A snapshot of the range is stored with your request.
The optional symptom helper uses an artificial intelligence model to suggest a service category and urgency level from the description and photos you choose to provide. Its output is a non-diagnostic suggestion that you can accept or change; it does not decide whether your request is matched.
Matching is based on ZIP code, requested service, and contractor approval status, with a rotation that favors contractors notified least recently. We do not use automated decision-making that produces legal or similarly significant effects.
8. Service providers and other disclosures
Service providers process information on our behalf to run the platform:
- Lovable: website hosting, database, file storage, authentication, and the AI service behind the symptom helper. AI requests may be processed by the underlying model provider used by that service.
- Google: sign-in, only if you choose "Continue with Google."
We do not currently use payment processors, advertising networks, or SMS providers, and transactional email is not yet connected. Independent HVAC contractors receive information as described in Section 5 for their own business purposes in responding to your request.
We do not sell personal information and do not share it with data brokers or advertisers. We may disclose information when required by law, to protect the rights and safety of users or others, or in connection with a merger, acquisition, or sale of assets.
9. Cookies, browser storage, and analytics
We do not use analytics tools, advertising pixels, or cross-site tracking. The site uses your browser's local storage to keep you signed in, and our sign-in provider may use similar technologies for authentication and security. Our hosting provider may keep standard server logs. You can clear stored site data through your browser settings, which will sign you out. We do not offer a cookie preference center because we do not use optional cookies.
10. Data retention
We keep information for as long as needed to provide the service, maintain records of consent and important actions, resolve disputes, and meet legal obligations. Fixed retention periods for each category (accounts, requests, photos, quotes, consent records, support messages, and logs) have not yet been set; we will update this policy when they are. Some records may be kept after a deletion request where the law allows, such as to comply with legal obligations or to establish or defend legal claims.
11. Data security
We use reasonable safeguards, including encrypted connections (HTTPS), database permission rules that limit each user to the records they are allowed to see, private file storage with expiring links, role-based administrative access, and an audit log of sensitive actions that ordinary users cannot change. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
12. California privacy rights
Fair Price Pros is based in California. Depending on whether the California Consumer Privacy Act (as amended) applies to Fair Price Pros, California residents may have the right to:
- Know and access the personal information we collect about them.
- Request deletion and correction of personal information.
- Opt out of the sale or sharing of personal information. We do not sell or share personal information for cross-context behavioral advertising.
- Limit use of sensitive personal information. We do not use sensitive personal information for purposes that would trigger this right.
- Not be discriminated against for exercising these rights, and use an authorized agent.
The categories we collect are described in Section 2, the purposes in Section 4, the recipients in Sections 5 and 8, and retention in Section 10. We will verify your identity before acting on a request, typically by confirming control of the email address on your account or request, and respond within the time required by law.
13. Other U.S. state privacy rights
Residents of some other states have privacy rights under their state laws, such as rights to access, correct, delete, or obtain a copy of personal information and to appeal a decision about a request. These rights and their thresholds vary by state. You may send a request using the contact method below regardless of where you live, and we will respond as required by the law that applies to you. If we deny your request, you may ask us to reconsider it.
14. Children's privacy
Fair Price Pros is designed for homeowners and businesses arranging HVAC work and is not directed to children. Do not use Fair Price Pros if you are under 18. If you believe a child has provided us personal information, contact us and we will delete it.
15. Email, SMS, and other communications
We currently send account and request notices inside the app (for example, new opportunities, quotes received, preferred selections, and application decisions). Account emails such as confirmation and password reset are sent by our authentication provider. Other email notifications are not yet active. Matched contractors may contact you about your request by your chosen contact method, as described in the consent you give when submitting.
We do not send SMS text messages and do not send marketing messages. Submitting a request does not consent you to marketing. If we add SMS or marketing communications, we will request any required consent separately and provide opt-out options before launch.
16. Account closure and privacy requests
From your dashboard you can view, correct, cancel, or close your requests, and contractors can update their profiles. Closing or canceling a request stops new contractor activity but does not delete it. There is currently no self-service account deletion; to request account deletion, access to, or correction of your information, use the contact method below. Deleting information from Fair Price Pros does not delete copies a contractor already received; you may contact that contractor directly.
17. Changes to this policy
We may update this policy as the platform changes, for example if we add payments, contractor subscriptions, SMS, or new integrations. We will update the date at the top, and for material changes we will provide notice and obtain consent where the law requires it.
18. Contact
For privacy questions or requests, use our contact page. Fair Price Pros is located in San Francisco, California.
